Minutes of August 26, 2007 Meeting
and Annual Picnic, Westminster, VT

Meeting was called to order at 1:15 pm by out President David Wright with 14 members and guests attending.
Secretary's notes from the last 2 meetings were read.
Increased mailing costs have become a concern, Mailings are now 54 cents, up from 23 cents per piece, bringing the yearly cost to about $900.00 for the Topics and Newsletter.
As of now the Quarterly costs of the Topics and Newsletter are as follows:
$950.00 printing of Topics
$406.80 print newsletters
$100.66 mailing to and from the Adamses
$296.00 postage
Total $1764.38 plus cost of envelopes, $160.00 bulk mailing permit fee (yearly)and other incidentals. This works out to approximately $7500.00 per year.
As of now, the cost is outweighing the income. A lively discussion of solutions followed with agreement that increasing membership cost will be the best solution. A motion was made by J. Cohen to increase dues thusly:
$20.00 for individual and family annually
$350.00 life membership (individual)
$400.00 life membership (family)
$1000.00 corporate membership and
No change in the student membership at $5.00 annually.
All of the changes were moved, seconded and passed one by one.
The status of the GUIDE was brought up by J. Cohen. With the addition of the Chinese bridges needing to be verified, it is doubtful that the GUIDE will be out in the near future(2007). Joe Cohen already has the Chinese Bridges and the Romantic Shelters on computer discs. A meeting to review the contents of the GUIDE has to be set up with David Wright, Dan Brock and Joseph Conwill. Dick Roy voiced his opinion that the GUIDE should be a NORTH AMERICAN GUIDE and not include the bridges of China. A separate GUIDE could be written for the Chinese Bridges and a separate GUIDE for the Romantic Shelters
A discussion of "traditional", non "traditional", romantic shelters and the EXACT definition of a covered bridge followed with no resolution . David Wright promised a valid and complete definition will be included with the GUIDE.
The status of the website was questioned by Dick Roy. Bill Caswell will set up the site. $5000.00 is still available to do that. It was M/S/V that bills can be presented and paid without going to a vote.
A very well prepared Items of Concern was presented to all attending by Bill Caswell for general discussion and input. Some of the issues raised were: the purpose of the Society and it's mission, the national vs local interest, the Contoocook River Railroad CB project, how funding happens and how money is spent and from where (what fund), restrictions that apply to some of the accounts. (A copy of the Items of Concern booklet is available from the recording secretary). While there was no definite resolution of the issues, it was thought provoking and interesting and will provide topics of discussion for future meetings until everyone has the answers they need.
The meeting adjourned with a reminder of the next meeting being a MiniSafari in Massachusetts.
